Customers and saved payment methods

The people and businesses you bill. Every invoice, schedule and saved card hangs off a customer.

Customers and account numbers

Each customer is identified inside PayMidWare by a hidden id you never need to type. You can also give a customer an optional Account number of your own, such as the number from your billing system.

  • Add it when you create the customer, or edit it later on the customer's page.
  • It must be unique among your customers. If you try a number that is already used, you are told. It can be left blank.
  • The Customers list has an Account number column and a search box that finds a customer by name, email, phone or account number.
  • If QuickBooks or Salesforce is connected, the account number is sent along with the customer.

The customer page

Open any customer for everything about them in one place. The tabs cover an overview with a summary, their invoices, schedules and schedule requests, their transactions, their saved payment methods, their documents and texts, your private notes, and an activity timeline. You can also edit their details there, and start a new invoice, scheduled payment, schedule request or document for signature without leaving the page.

Saved payment methods

A saved method is a card or bank account kept at your gateway as a token, so a customer can pay again without retyping it. PayMidWare never stores the card number. Staff do not type card numbers into the Portal; customers add their own method, in one of these ways:

  • Pay and save. The customer chooses to keep their card on file when paying an invoice.
  • Add-a-card link. From the customer's page choose the gateway and whether they should add a card, a bank account or either, and send the link by email or text, or copy it. The customer opens a secure page, enters their details, and the method is saved as their default. A link works once and expires after seven days. You can optionally move their scheduled payments onto the new method.
  • Approving a schedule. A customer who approves a payment schedule saves their method as part of approving it.

On the Methods tab you can see each saved method (type, last four digits and expiry, never the full number) and remove one. You can charge a saved method from the customer's page; a guard stops an accidental double charge.
